{"id":6388,"date":"2017-10-27T12:44:19","date_gmt":"2017-10-27T11:44:19","guid":{"rendered":"https:\/\/www.lettingaproperty.com\/landlord\/blog\/?p=6388"},"modified":"2017-10-27T12:44:19","modified_gmt":"2017-10-27T11:44:19","slug":"rent-collection-service","status":"publish","type":"post","link":"https:\/\/www.lettingaproperty.com\/landlord\/blog\/rent-collection-service\/","title":{"rendered":"Rent Collection Service &#8211; Best Way To Collect Rent"},"content":{"rendered":"\n<p>When letting a property, one of the most common concerns you&#8217;ll have is whether the <a href=\"https:\/\/www.lettingaproperty.com\/landlord\/blog\/my-tenant-has-stopped-paying-rent\/\">tenant is going to stop paying rent<\/a> during the tenancy and in this article, we&#8217;ll look at a&nbsp;<strong>rent collection service<\/strong>&nbsp;and the best way for landlords to collect rent from tenants.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Setting up a rent collection service<\/h2>\n\n\n\n<p>From our own experience of managing hundreds of thousands of pounds of rents and deposits&nbsp;for landlords across the United Kingdom, the most important aspect of setting up a rent collection service is to make sure that the tenancy and pre-tenancy documentation is all in order.<\/p>\n\n\n\n<p>This includes but is not limited to:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>The tenancy agreement detailing any penalties for late \/ non-payment of rent is signed and executed<\/li><li>The <a href=\"https:\/\/www.lettingaproperty.com\/landlord\/blog\/tenancy-deposit-protection-schemes\/\">tenancy deposit is secured<\/a> and certification is issued to the tenant<\/li><li><a href=\"https:\/\/www.lettingaproperty.com\/landlord\/blog\/right-to-rent-document-checklist\/\">Right-to-rent checks<\/a> have been carried out to confirm tenant status<\/li><li><a href=\"https:\/\/www.lettingaproperty.com\/landlord\/blog\/how-to-rent-guide\/\">How to Rent Guide<\/a> has been issued to the tenant<\/li><li><a href=\"https:\/\/www.lettingaproperty.com\/landlord\/gas-safety-certificate\">Gas Safety Certificate<\/a> has been carried out and issued to the tenant<\/li><li><a href=\"https:\/\/www.lettingaproperty.com\/landlord\/energy-performance-certificate\">Energy performance certificate<\/a> has been handed to the tenant<\/li><\/ul>\n\n\n\n<p>These documents should all be in place and ticked off our complimentary&nbsp;landlord&#8217;s checklist. Download the checklist below.<\/p>\n\n\n\n\n\n<p>If you have set up the tenancy correctly in the beginning then you are off to a good start in terms of ongoing rent collection.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Best way to collect rent from a tenant<\/h2>\n\n\n\n<p>It is not commonly known that a tenant can pay the landlord by any method they wish &#8211; standing order, cheque, direct debit or even cash.<\/p>\n\n\n\n<p>Although you may insist in the tenancy agreement that the tenant must set up a standing order, there is really nothing you can do about it if the tenant cancels the standing order and pays you by bank transfer.&nbsp; As long as the tenant fulfils their contractual obligation to pay you the correct amount of rent on time every month then there is no issue.<\/p>\n\n\n\n<p>Of the rents we collect as part of our rent collection service for landlords, around 80% of the rental payments are received by Faster Payment.&nbsp; Faster Payment is a method one uses to transfer funds through personal internet banking and the funds are usually cleared in the account within 2 hours.&nbsp; This is a very convenient way for our tenants to pay their rent, especially with mobile banking.<\/p>\n\n\n\n<p>The remaining 20% is a mix of standing order payments, cash deposits, credit cards and international bank transfers.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How to deal with tenants not paying rent<\/h2>\n\n\n\n<p>In the grand scheme, most tenants are great tenants and will pay their rent on time.&nbsp; I was pleased to see that thought is being given to <a href=\"http:\/\/www.experian.co.uk\/rental-exchange.html\" target=\"_blank\" rel=\"noopener noreferrer\">include consistency of rent payments as a measure of a tenants credit score<\/a>.<\/p>\n\n\n\n<div class=\"wp-block-image wp-image-6395 size-full\"><figure class=\"aligncenter\"><img loading=\"lazy\" decoding=\"async\" width=\"570\" height=\"345\" src=\"https:\/\/www.lettingaproperty.com\/landlord\/blog\/wp-content\/uploads\/2017\/10\/knock-on-door.png\" alt=\"Rent collection service agent knocking on tenants front door.\" class=\"wp-image-6395\" srcset=\"https:\/\/www.lettingaproperty.com\/landlord\/blog\/wp-content\/uploads\/2017\/10\/knock-on-door.png 570w, https:\/\/www.lettingaproperty.com\/landlord\/blog\/wp-content\/uploads\/2017\/10\/knock-on-door-300x182.png 300w\" sizes=\"auto, (max-width: 570px) 100vw, 570px\" \/><figcaption>A fact of life as a landlord &#8211; some tenants are late in paying rent. That does not mean you can arrive at the property, knock on the door and demand rent.<\/figcaption><\/figure><\/div>\n\n\n\n<p>However, no matter how prepared you are, some tenants will be late paying their rent.&nbsp; That is a fact &#8211; especially when you collect hundreds of rents a month.&nbsp; The reasons vary from; they didn&#8217;t know they were late, they thought the standing order was set up, they forgot, they haven&#8217;t been paid yet or the bank must be experiencing issues!<\/p>\n\n\n\n<p>We&#8217;ve set up our hundreds of rental payments in such a way so that it is instantly identifiable if a tenant is late by 1 day.<\/p>\n\n\n\n<p><strong>Speed and courtesy<\/strong> in dealing with a tenant that is late paying rent is one of <strong>the most important factors<\/strong>.&nbsp; If you leave late rent payments for too long, it becomes increasingly difficult to deal with going forward.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Outsourcing to a rent collection service agency<\/h2>\n\n\n\n<p>Having conversations with tenants about late rent is never pleasant and there are genuine reasons why a tenant may be late and that is why I stress the importance of being courteous and professional in your communication.<\/p>\n\n\n\n<div class=\"wp-block-image wp-image-6394 size-full\"><figure class=\"aligncenter\"><img loading=\"lazy\" decoding=\"async\" width=\"570\" height=\"345\" src=\"https:\/\/www.lettingaproperty.com\/landlord\/blog\/wp-content\/uploads\/2017\/10\/rent-collection-agency.png\" alt=\"Lady in office on the phone as part of rent collection service for landlords.\" class=\"wp-image-6394\" srcset=\"https:\/\/www.lettingaproperty.com\/landlord\/blog\/wp-content\/uploads\/2017\/10\/rent-collection-agency.png 570w, https:\/\/www.lettingaproperty.com\/landlord\/blog\/wp-content\/uploads\/2017\/10\/rent-collection-agency-300x182.png 300w\" sizes=\"auto, (max-width: 570px) 100vw, 570px\" \/><figcaption>Being courteous and professional in your communication with you tenant is vital when collecting late rent.<\/figcaption><\/figure><\/div>\n\n\n\n<p>I would also advise that all communication be in writing so that you have a record in case it is needed to evict the tenant and gain possession.<\/p>\n\n\n\n<p>You cannot be seen to be harassing the tenant i.e. arrive at the property and knock on the door.
